Job Title: Exams Officer

Hours: 37 hours per week.

Aims and Purpose of the Post

  • Coordinate all communications with Awarding Organisations (AO), Joint Council for Qualifications (JCQ), the A2C Project within the Exam Sector, Ofqual, the Standards and Testing Agency, and Department for Education (DfE).
  • Maintain records to track student achievements via electronic systems.
  • Oversee arrangements for planning and coordination of formal examinations, both online and paper-based.
  • Manage the day-to-day oversight of the examinations budget in conjunction with the Quality Improvement & Exams Manager.

Specific Responsibilities

  • Ensure all students/customers are registered for their appropriate course, entered for external examinations and online tests, and certificates claimed when required.
  • Lead liaison with Curriculum Administrators to ensure timely and organized communication with the Exams office.
  • Ensure accurate and timely communications with Awarding Organisations (AO).
  • Maintain accurate records of registrations and entries, ensuring the College MIS (Unit-e) is completed accurately.
  • Report any non-compliance to the Quality Improvement & Exams Manager.
  • Plan, design, and execute an effective plan for formal examinations, including online tests, ensuring invigilators are appointed to JCQ standards.
  • Monitor the security of written papers to meet AO requirements.
  • Ensure certificates are claimed promptly, scanned copies kept on file, and originals forwarded to students.
  • Produce College Certificates in a timely manner to required standards.
  • Check awarding body invoices against commitments and maintain accurate records.
  • Monitor communications from Ofqual and AO to maintain centre accreditation for each qualification offered.
  • Assist in gaining centre accreditation for new qualifications.
  • Liaise with Academy Manager to ensure examinations at other locations comply with College procedures and AO regulations.
  • Oversee the training and appointment of new invigilators and provide refresher training annually.
  • Provide statistics on examination entries and results for management.
  • Promote the welfare of young people and vulnerable groups, ensuring safeguarding arrangements are adhered to.
  • Ensure exemplary service and attention to all learners, customers, and clients.
  • Observe Health and Safety legislation and good working practice, including risk assessments and accident reports.
  • Attend College Open Days and other public events.
  • Promote and adhere to safeguarding and Health & Safety policies.
  • Manage student conduct in accordance with College policies.
  • Promote best practice in equity, diversity, and inclusion.
  • Demonstrate positive promotion and role modelling of College core values and professional behaviours.
  • Undertake any other duties as required by the Principal, including temporary or permanent redeployment to an equivalent grade of post.

Essential Qualifications:

  • Educated to degree level or equivalent
  • Minimum of grade C in GCSE Maths and English Language (or equivalent)
  • Commitment to and evidence of CPD

Desirable Qualifications:

  • Graduate (or equivalent professional qualification) in relevant subject area e.g., Business Administration
  • Relevant Administration qualification

Experience & Knowledge:

  • Competent user of Microsoft Office, able to manipulate data into a presentable format
  • Previous experience of Unit-e
  • Previous experience in an Examination environment
  • Previous experience in a professional office environment
  • Experience of working with Awarding Organisations
  • 2 years’ experience in a similar role and/or in an educational setting
  • Experience in a busy, customer-focused environment
  • Experience in a client-facing role
  • Attendance at large-scale corporate events
